Science Infrastructure Manager

In order to provide central managerial and operational support to the Director of EMBL Heidelberg (Scientific Activities) to facilitate his role of overseeing and coordinating the different scientific activities on site and beyond, an office of scientific operations (OSO) has been established at EMBL Heidelberg, in which this position is embedded. OSO duties include internal project management, analytics, information dissemination and bridging to non-scientific activities at EMBL Heidelberg, serving its scientific community (see terms of reference for OSO). As part of the bridging duties, the ScIM position is shared with the Director of Scientific Core Facilities and Services (SCFS), who also has a mandate to coordinate lab and office space organization at the Heidelberg campus. The ScIM role entails a significant responsibility for the entire EMBL HD-site.

Your role
Support the duties of the Director of EMBL Heidelberg
Closely work with and support the duties of the Director of SCFS related to HD science infrastructure management
Coordinate with and support also non-scientific stakeholders in lab or office space matters
Document and manage space allocations in liaison with the EMBL HD “Space Board” and building maintenance
Support planning and assignment of new scientific spaces (new science buildings or extensions)
Optimize space for shared facilities and commonly used space
Optimize and manage room occupancy and workflows including respective software and databases to maximise site infrastructure efficiency (e.g. central functions need to be centrally localised)
Serve as focal point for facility management and unit lab managers regarding infrastructure-related matters
Advise and support GL/TL and unit lab managers in lab renovation, set-up and basic equipment acquisition as well as help prioritizing renovations across the site
Monitor stock of basic equipment available (e.g. for brokering assets from groups leaving EMBL across the site in support of unit lab managers)
Liaise with unit lab managers and serve as focal point for procurement team to efficiently plan the acquisition of basic lab equipment
Deliver scientific operational support to enable the OSO team to fulfil team’s role

The Director of EMBL Heidelberg will serve as line manager. However, in case the work is associated to functions in the responsibility of the Director of SCFS or the Scientific Operations Manager coordinating OSO), the ScIM will report directly to them.

You have
Long term lab experience and sound background of working in life science infrastructures, preferably with managerial duties
Extensive understanding of laboratory infrastructures
Excellent written and verbal communication skills, including the ability to influence and negotiate effectively with a range of stakeholders
Ability to work effectively with managers at all levels
Solid project management experience
Proficiency in German and English
Ability to lead, facilitate and work as part of a team, and to collaborate with a wide range of people
The ability to act diplomatically and manage competing views and priorities
Capacity to remain calm under pressure, being able to take responsibility and being able to deliver difficult messages
Commitment, proactive drive and show initiative as well as resilience if needed

You might also have
A University degree, preferably in life sciences,
Active certification in Project Management e.g. PMP, Prince, PM2
Advanced knowledge of frequently used office software, e.g. Word, Excel, PowerPoint and G Suite (Docs, Sheets, Slides)
